Position:

Customer Service Inside Sales Order Desk

This position reports directly to the Chief Financial Officer.

Job Description:

Primary duties and responsibilities are to perform functions related to supporting sales by providing quotes and processing orders. Assist engineering with the management of projects. Confirm with sales the follow up on quotes. Send marketing and product material information to customers as required. In addition, the
CS representatives are to perform Marketing functions to assist the Sales Team, including calls to customers and sending advertising emails.

Specific duties will include, but are not limited to the following:

Job Responsibilities:

Customer Service/Supporting Sales Staff:

  • First contact with customer over the telephone
  • Refer customers to outside sales staff for quote or order assistance
  • Preparing outside sales quotations
  • Providing product information
  • Knowledgeable of pricing and availability
  • Follow up on open quotations with outside sales
  • Updating customer and vendor contact information
  • Providing daily reports of orders

Customer Service Order Desk:

  • Prepare quotes for outside sales
  • Process and enter new ACT, DST and Casting orders
  • Prepare purchase requests for new orders and stock orders and send to vendors.
  • Follow up on all vendor purchase orders for parts to ensure delivery is on time
  • Maintain and update purchase orders and sales orders in QB with ship date, prices etc. change orders
  • Provide AR with completed order package for invoicing
  • Prepare shipping documents (packing slips, BOL etc.) for ACT stock orders
  • Pull inventory, if necessary, for ACT stock orders
  • Work with ACT Shop to ship out and receive orders
  • Follow up on quotes with sales each week to ensure customer has been contacted regarding quote
  • Assist accounting with the closing of all projects
  • Prepare sales order for invoicing of consignment inventory, service contracts and special invoicing needs as requested from AR
  • Send product information to customers as requested
  • Send new customers credit applications for approval
  • Prepare daily and weekly reports of new orders
  • Review open orders report each week and update board to ensure all orders ship on time
  • Inform sales of any ship date changes on orders
  • Provide inventory report to Casting sales representative each month
  • Attend weekly meetings being prepared with materials for discussion

Qualifications:

Work Experience Requirements:

  • 2-3 years of experience in customer service and order taking functions
  • 2 years of shipping experience and knowledge
  • Experience working in an industrial type of environment desired
  • Proficient in Microsoft Word, Excel, Power Point and Outlook
  • 2-3 years if experience in accounting software such as Quick Books a plus
  • Adaptable to a fast paced and evolving environment
  • Able to lift 25 lbs. and work in a warehouse environment
  • Able to perform with minimal supervision and have strong self-motivation to learn.
